Terms & Conditions
Version 1.3 · In force from 23 October 2026 (new: section 10, selling records on vinyldesk.com, and offer codes in section 5)
1. Who we are
VinylDesk is offered by:
VinylDesk
Amerstraat 27
4535 CK Terneuzen
The Netherlands
Email: billing@vinyldesk.com
Chamber of Commerce (KvK): 66743214
VAT number: NL001769761B12
In these terms, "VinylDesk", "we" and "us" mean VinylDesk as described above; "you" means the person who creates an account.
2. What these terms cover
These terms apply to your VinylDesk account and to every VinylDesk app and website: VinylDesk Collector, VinylDesk DJ and VinylDesk Sales (on the web and in our Android app), VinylDesk Pay (pay.vinyldesk.com, where you subscribe and buy AI Credits) and vinyldesk.com. Our Privacy Policy explains how we handle personal data. By creating an account you accept these terms. We show them to you before you order and you can save or print this page at any time.
3. The service
- VinylDesk is one account with three workspaces: Collector (manage and sync your record collection), DJ (your crate with BPM, key and harmonic mixing) and Sales (inventory, condition grading and sale labels).
- Every new account starts with a free trial of 7 days in which you can use all three workspaces. The trial needs no payment details and includes a one-time allowance of 30 AI Credits. It ends by itself: it does not turn into a paid subscription and nothing is charged.
- When the trial has ended and your account has no paid plan, the account becomes read-only. You can still open and view everything in it, but adding, editing, scanning, printing labels and selling are paused until you choose a plan. We do not delete your data because a trial has ended. We send you one email when the trial ends.
- The paid plans are shown on our Pricing page. Each plan includes a monthly allowance of AI Credits. The DJ plan and the Sales plan each include Collector; Complete includes all three workspaces. After the trial, a workspace that your plan does not include is read-only. If you choose a plan during the trial, the other workspaces stay available until the trial ends.
- AI Credits are used for AI-assisted features such as identifying a record from a photo and grading its condition. How many credits an action uses is shown in the app before you use it.
- Results from AI-assisted features, BPM and key lookups and measurements are suggestions, not guarantees. Always check important details yourself, especially a record's condition before you sell it.
- VinylDesk works with Discogs through Discogs' own API when you connect your Discogs account. VinylDesk is not owned by, endorsed by or affiliated with Discogs.
4. Your account
- You must be at least 16 years old to create an account. Use a valid email address and keep your password to yourself; you are responsible for what happens under your account.
- One account is for one person. Don't share it or resell access to it.
- You can delete your account at any time: in the Android app under Settings → Delete account, or at pay.vinyldesk.com. This permanently deletes your data in all apps and ends any subscription straight away, without a refund for the remaining period (see section 8 for the 14-day withdrawal right, which you can use instead during the first 14 days).
5. Prices and payment
- Current prices are on our Pricing page and at checkout. The price shown at checkout is the total you pay, including VAT where applicable. Customers outside the EU may be billed in US dollars.
- Payments are processed by Stripe (card, Apple Pay, Google Pay and iDEAL). VinylDesk never sees or stores your full card details. With iDEAL you also authorise SEPA Direct Debit for later renewals.
- Your order is placed when you press "Order with obligation to pay" and the payment is completed. We confirm every order by email.
- Offer codes. We sometimes give a code for a lower price, such as the Founder price (a plan at a lower monthly price for a set number of payments). The code says what it gives, for how many payments and until when it can be used. It works for a new subscription on the website, not for purchases through Google Play. After the offer payments the plan continues at the normal price; we email you before that happens, and you can cancel at any time as usual.
- In the Android app you can also buy a plan or AI Credits through Google Play. Google Play is then the seller: it shows the price (including VAT where applicable, in your currency), takes the payment and sends the receipt, under Google's own terms. We switch on what you bought once Google has confirmed the payment. The rest of these terms applies to what you buy that way, except where this page says otherwise for Google Play.
6. Subscriptions
- Monthly plans are paid monthly in advance and renew automatically every month until you cancel.
- Annual plans are paid once, in advance, for the first year. After that first year an annual plan does not renew for another year: it continues automatically as a monthly subscription at the then-current monthly price of the same plan, which you can cancel any month. We email you at least 14 days before your first year ends.
- Plans bought through Google Play follow Google Play's subscription rules: an annual plan renews every year at the yearly price until you cancel (it does not turn into a monthly plan), and a plan is changed or cancelled in Google Play (Play Store, your profile, Payments and subscriptions), not in VinylDesk Pay. When you change plan in Google Play, Google counts the time you already paid for towards the new plan. An account has either a plan from the website or a plan from Google Play, never both.
- Included AI Credits are a monthly allowance (also on annual plans). They are refreshed every month, don't roll over and have no cash value.
- You can add another app to an existing subscription in VinylDesk Pay. It starts immediately and is charged from your next renewal date; switching to Complete takes effect at your next renewal.
- If a renewal payment fails, we try again over the following days and email you. If payment still doesn't succeed, the subscription ends after a short grace period.
- Price changes: if we raise the price of your plan, we email you at least 30 days before the new price applies to you. You can cancel before then; the new price never applies to a period you have already paid for.
7. Cancelling
- You can cancel any time, online, in VinylDesk Pay (pay.vinyldesk.com). A plan bought through Google Play is cancelled in Google Play. Cancelling stops the next renewal; you keep access until the end of the period you have already paid for and you are not charged again. There is no notice period beyond the current paid month (or, on an annual plan in its first year, the paid year).
- Except for the 14-day withdrawal right below, we don't refund the remaining part of a period you cancel during, unless the law requires it.
8. Your 14-day right of withdrawal
Subscriptions. You may withdraw from a new subscription within 14 days of ordering, without giving a reason. Use the "Withdraw from contract" button in VinylDesk Pay, email billing@vinyldesk.com, or send the model form below. Because you ask us at checkout to start your subscription immediately, you pay a proportionate amount for the service up to your withdrawal: we refund what you paid minus the full days already used (withdrawing on the first day costs nothing). We refund within 14 days of receiving your withdrawal, using the payment method you paid with, at no cost to you, and confirm your withdrawal by email.
Purchases through Google Play. For a plan or AI Credits bought through Google Play, Google handles refunds and the right of withdrawal, under Google Play's refund policy and the law. Ask Google Play for a refund, or email us and we will point you the right way.
AI Credit packs. AI Credit packs are digital content added to your account straight away. At checkout you ask us to add them immediately and confirm that you then lose your right of withdrawal for that purchase, so packs can't be withdrawn from once the credits have been added.
Model withdrawal form (only fill in and return this form if you want to withdraw from the contract):
To: VinylDesk, Amerstraat 27, 4535 CK Terneuzen, The Netherlands, billing@vinyldesk.com
I hereby give notice that I withdraw from my contract for the following service: VinylDesk subscription ([plan])
Ordered on: [date]
Name: [your name]
Email address of your VinylDesk account: [email]
Date: [date]
9. AI Credit packs
- Purchased AI Credits never expire and stay on your account as long as it exists. Your plan's included monthly credits are always used first.
- AI Credits can't be exchanged for money, transferred to another account or refunded, except where the law requires it or in case of a billing error on our side.
- If an AI request fails or doesn't produce a usable result, no credit is charged for it.
10. Selling records on vinyldesk.com
With a Sales plan (or during the free trial) you can switch on My shop in the app. Your records for sale are then shown on your own page on vinyldesk.com and in the search over all sellers. This section applies to sellers, and to everyone who looks at those pages or sends a seller a message.
- VinylDesk is not part of the sale. We show the records and pass a buyer's message on to the seller by email. Buyer and seller make their own agreement about the price, payment, shipping or pick-up. VinylDesk does not sell the records, does not handle payments, does not hold money, and gives no guarantee about a record, a seller or a buyer.
- Private seller or trader. When you switch your shop on, you say whether you sell as a private person or as a business (trader). A trader must give their business name, Chamber of Commerce (or other trade register) number and address, which we show on the shop page, and is responsible for the rights that consumers have against a trader, such as the 14-day right of withdrawal for distance sales, guarantees and returns. A private seller declares to sell only their own records, not as a business.
- What sellers promise. You only offer records you own and may sell; your descriptions, condition grades, photos and prices are honest and your own; you answer buyers within a reasonable time; and you keep your page up to date (mark records as reserved or sold in the app). You may not offer counterfeits or bootlegs as originals, stolen goods, or anything illegal, and you may not use the pages for anything other than selling your records. Only your own photos are shown, never images or prices from Discogs.
- Buyers. Your name, email address and message go to the seller, who answers you directly. Be careful with requests to pay in advance through unknown links or to "release" a payment; pay on pick-up or with a payment request where you can. VinylDesk cannot settle disputes between buyer and seller, but we do want to hear about sellers who don't keep to these rules.
- Reporting and removal. Anyone can report a shop or a record with the link on its page, or by email. We look at every report. We may hide a record or suspend a shop that breaks these terms or the law, and we tell the seller why (unless the law stops us). A seller who disagrees can reply to that message or email billing@vinyldesk.com, and we look at it again.
- Your shop page is shown only while your account has Sales active. You can switch it off at any time in the app; it then disappears from the site within about 15 minutes.
11. Fair and acceptable use
- Don't use VinylDesk to upload unlawful content, to infringe anyone's rights, or to disrupt, overload, copy or reverse-engineer the service.
- Don't use automated tools to access VinylDesk or to use AI features in bulk beyond normal personal use.
- If you seriously or repeatedly break these rules, we may suspend or close your account after warning you, or immediately in urgent cases (for example abuse or fraud). If we close an account without a good reason, we refund the unused part of any prepaid period.
12. Your content
You keep all rights to the collection, crate, listing and photo data you add to VinylDesk. You give us permission to store and process it only as needed to provide the service to you (for example syncing it between your devices, printing your labels and running the AI features you choose). You are responsible for having the right to upload any photo or content you add.
13. Availability and changes to the service
We work to keep VinylDesk available and your data safe, but we can't guarantee the service will always be uninterrupted or error-free. Parts of VinylDesk depend on third parties (such as Discogs, Stripe and our AI provider). We may improve and change the service; if we remove an important feature of a paid plan, we tell you in advance and you may cancel and get back the unused part of any prepaid period.
14. Liability
We are liable for damage caused by intent or gross negligence on our side. Otherwise our total liability is limited to the amount you paid us in the 12 months before the event, and we are not liable for indirect damage such as lost profit or lost sales. Nothing in these terms limits your rights under mandatory consumer law.
15. Changes to these terms
We may update these terms. If a change matters for you, we email you at least 30 days before it takes effect. If you don't agree, you can cancel before then. The version in force when you placed an order applies to that order's current paid period.
16. Questions, complaints and disputes
Questions or complaints: email billing@vinyldesk.com. We confirm receipt and aim to give a full answer within 14 days. These terms are governed by Dutch law. If you are a consumer living in another EU country, you also keep the protection of the mandatory rules of the country where you live, and you may take a dispute to the court of your place of residence.
